For submitted applications, a validator will be assigned to review the application files and document completeness within the following timeframes:
If there are missing required documents, the application will be returned. If the timeframe is exceeded, the application will be considered accepted.
Once the application is received, document validation will be carried out by reviewing the application files and relevant information, and testing the compliance of the information with the potential risks regarding the fulfillment of AEO conditions and requirements.
The AEO team will invite the company to present the AEO conditions and requirements within 30 (thirty) days from the date the application is received. The presentation can be conducted either virtually and/or physically.
The results of the SOP presentation will produce recommendations, including:
The Economic Operator must submit follow-up actions on the recommendations, in the form of improvements, no later than 30 (thirty) days from the date the improvement recommendations are received and may request an extension to submit the follow-up actions before the deadline for a maximum of 30 (thirty) days, accompanied by valid reasons.
Field Validation can be conducted:
Field Validation may involve the related Customs Office, related units, and/or other ministries/agencies.
After completing the Field Validation, the Validation team will prepare a report containing conclusions and/or improvement recommendations.
The company must complete all improvement recommendations no later than 6 (six) months from the date of the recommendation delivery letter.
If the company has more than 1 (one) location, the time frame will be calculated from the date of the Field Validation recommendation letter for the last location.
The company may request an extension for completing the improvement recommendations only once, with valid reasons, for up to 3 (three) months.
The company must notify and present the results of the improvements as follow-up to the improvement recommendations.
The Forum Panel is a discussion activity to agree on the Economic Operator’s status as an AEO.
The Forum Panel may be attended by representatives from the Directorate General of Customs and Excise, related units, and/or other relevant ministries/agencies.
The outcome of the Forum Panel can be:
The Director may perform a further assessment based on risk management following the follow-up actions.
The decision for AEO recognition is valid for 5 (five) years.
The decision for AEO recognition can be extended every 5 (five) years based on an evaluation carried out by the Director.
If the Economic Operator has been granted AEO recognition and changes occur, the expiration date for the changes will follow the initial recognition.
